Refers to any individual who uses the Platform. This may include residents, tenants, visitors, or authorized representatives of a housing society or organization.
d. Services
Refers to all features offered through the Platform, such as visitor management, delivery tracking, emergency alerts, communication tools, amenities booking, and other related services.
e. Community
Refers to a housing society, apartment complex, or residential group that uses the Platform.
f. Personal Data
Refers to any information that can identify you, such as your name, phone number, address, flat number, or vehicle details.
g. Sensitive Personal Data
Refers to certain types of data that are more private in nature, such as financial details, biometric data, or health information, as defined under applicable laws.
h. Resident Welfare Association (RWA)
Refers to the managing body of a Community that may use the Platform to manage residents and services.
1. Introduction
a. About the Platform
“SweetHome” is a mobile and web-based platform developed by Tegmotec Private Limited. It is designed to help housing societies and residential communities manage daily activities more efficiently.
The Platform offers features such as digital payments, account management, security tools, communication systems, and other services aimed at improving administration, safety, and overall living experience within communities.
b. Visitor Management
SweetHome allows residents to manage visitor entry through a structured approval system. Residents or authorized security personnel can approve or deny entry, ensuring better control and security.
c. Delivery Management
Residents can allow deliveries to be received at the society gate when they are unavailable. Packages can be collected later at their convenience.
The Platform may also integrate with third-party delivery services to allow smooth entry of verified delivery personnel, based on prior approval.
d. Emergency Alerts
In case of an emergency, residents can quickly send alerts to on-site security through the app, enabling faster response.
e. Child Safety
Residents can request security personnel to ensure that children do not leave the premises without permission. This feature does not require collecting or storing personal data of children.
f. Amenities and Clubhouse Management
The Platform allows society management to control access to amenities such as clubhouses and shared facilities, ensuring usage by authorized residents and guests only.
g. Helpdesk and Communication
SweetHome provides tools for:
- Sharing notices and announcements
- Conducting polls and voting
- Raising complaints or service requests
- Enabling residents to share feedback and suggestions
These features help improve transparency and communication within the community.
2. Information We Collect and How We Use It
a. Your Consent
By using SweetHome, you agree to the collection and use of your information as described in this Privacy Policy and our Terms of Use.

In some cases, the RWA may require additional details (such as photos or ID). These requirements are set by the RWA, not the Company.
iii. Service Provider Information
For delivery agents, vendors, or service staff, we may collect:
- Name and contact details
- Entry and exit records
- Vehicle details
- ID proof or photo (if required by the RWA)
Payment-related information may also be processed through secure third-party payment providers.
iv. Technical and Usage Information
We may automatically collect technical data such as:
- IP address
- Device type and operating system
- App usage and activity logs
- Date and time of access
This helps us improve performance, security, and user experience.
3. How We Collect Information
a. Information You Provide
We collect information when you:
- Register on the Platform
- Fill forms or update your profile
- Use features like visitor entry or communication tools
This includes any information you choose to share while using the Platform.
b. Information Collected Automatically
When you use SweetHome, some information is collected automatically, such as:

To create and manage your account and provide access to the Platform.

To verify users, control access, and maintain security within the community.
iii. Personalization
To show relevant information such as community updates, notices, and activity related to your usage.

To send important service updates, notices and alerts, and support responses. We may also send updates about new features or improvements.
v. Analytics and Improvements
To understand how the Platform is used and improve performance, features, and user experience.
vi. Optional Services
To provide additional services or features that you choose to use.
vii. Legal and Compliance
To meet legal, regulatory, and audit requirements.
viii. Safety and Security
To detect, prevent, and respond to fraud, misuse, security threats, or technical issues.
c. Advertising (if applicable)
We may use limited data to support relevant advertisements or promotions. We do not share your personal information with advertisers without your consent.

b. How You Can Manage Your Information
i. Access and Update Your Information
You can review and update certain details in your profile by logging into the Platform. Some information (such as your registered phone number or name) may require verification or support assistance to update, to ensure security and prevent misuse.
ii. Manage Notifications
You can control which notifications you receive within the app, such as:
- Entry/Exit alerts
- Helpdesk responses
- Amenities and community updates
However, you will still receive important notifications related to:
- Security
- Legal or compliance requirements
- Essential service updates
iii. Account Deletion and Data Requests
You may request deletion of your account or personal data by:
- Removing your unit from the Platform
- Uninstalling the app

Please note:
- Some requests may require approval from your RWA
- Certain data (such as transaction records or security logs) may be retained as required by law or for legitimate operational purposes

iv. Business Transfers
If the Company is involved in a merger, acquisition, or sale of assets, your information may be transferred to the new entity. You will be notified if such a change affects your data.

8. Data Retention and Deletion
a. How Long We Keep Your Data

- Fulfill contractual obligations

The retention period depends on the type of data and how it is used.
b. Your Right to Request Deletion
You may request deletion of your personal data at any time, subject to:

- Requirements of your Resident Welfare Association (RWA)
Where RWA approval is required, we will assist in processing your request, but the final decision may depend on the RWA.
c. Visitor Data Retention
Visitor information is retained for a limited period for security and administrative purposes.
By default:
- Visitor data is deleted after 180 days
- RWAs may choose shorter retention periods (such as 60 or 120 days)
After deletion, this data is removed from active systems and is not accessible for normal use.
d. Resident Data and Right to be Forgotten
You may request deletion of your personal data (“Right to be Forgotten”) by:
- Using the app, or
- Contacting us at dpo@sweethome.in.net
e. Data During Active Use
We retain necessary data while your community is actively using the Platform.
If a community stops using SweetHome, we will take steps to securely delete associated data within a reasonable timeframe, unless retention is required by law.
f. After Leaving a Society
If you leave a society, you may remove your personal details and stop using the Platform.
However, certain records (such as past transactions or activity logs) may be retained for:
- Community record-keeping
- Legal or audit purposes
g. Legal and Operational Retention
Even if you request deletion, we may retain some information where necessary for:
- Legal compliance
- Fraud prevention
- Dispute resolution
- Financial and audit records
h. Deletion Process
We follow a secure process to delete personal data from our systems.
- We aim to acknowledge deletion requests within 7 business days
- We aim to complete deletion within 30 business days, subject to:
- RWA approvals (if required)
- Legal or technical constraints
Some delay may occur to ensure safe and complete removal of data.

The Data Protection Officer is responsible for overseeing the Platform's data protection strategy and ensuring compliance with applicable data protection laws, including the Digital Personal Data Protection Act, 2023.
